- Your certifications
- Your client success stories
- Your voice, terminology, and positioning
Without that, ChatGPT is guessing. Educated guesses, sure—but guesses nonetheless. And "average staffing company" answers don't win competitive RFPs.

They ran an RFP response through ChatGPT, polished it up, and were feeling pretty good—until someone caught a line claiming they had ISO certification. They didn't. That's not an AI strategy. That's spray-and-pray. And it doesn't work.

Step 2: Build Constraints
Document:

- Brand voice and terminology
- What you can and cannot claim
- Approval workflows
Constraints don't limit AI. They make it useful.
Step 3: Create Architecture
You need:
- A question library with historical responses
- Version control
- Clear workflows from draft → review → approval
- Integration with your documents
This is the boring part. But I'll say it's also the part that wins RFPs.
Step 4: NOW Add AI (And Watch It Actually Work)
With your foundation fixed, AI becomes genuinely useful:
- Find your best past answers
- Adapt approved content to new questions
- Maintain consistency and compliance
- Produce drafts that need light editing—not rewrites
This isn't pretty. It's not "just ask AI." But the firms winning more RFPs aren't chasing shiny tools. They fixed their foundation first.
The Real Question
You don't have a ChatGPT problem. You have an architecture problem. Fix the architecture, and AI becomes a force multiplier instead of another failed experiment.
